Each institution has its own address, logo and colour, its own staff and its own rules. Platform staff can switch between institutions, and every switch is logged.
Data protection
Collegene is designed for the Botswana Data Protection Act, 2024 (Act 18 of 2024). Each college remains responsible for its own students' data.
- Separate data per institution. Every record carries its institution, and the database refuses to return another institution's rows, whichever screen asks.
- Two-step sign-in for staff. Staff confirm every sign-in with a code from an authenticator app before they can see any record.
- A record of every change. Changes to applications, decisions and staff access are written to an audit log that cannot be edited.
- Privacy notices where data is collected. Applicants see their college's privacy notice before they enter any personal details.
